If you host children's birthday parties this children's event management printable is for you! The phrase 'children's event management' sounds a little heavy, but that's exactly what a child's party is to prepare and host, along with all the fun and satisfaction of delighting a child, naturally!
What's just as heavy is that all the little guests are safe and accounted for at all times.
With the popularity of children's birthday parties and any kids of child event hosted away from someone's home or classroom, a tool to keep all emergency contact information in one place is essential.
I've created a very simple and attractive sign-in and sign-out sheet that gives little guests' caregivers peace of mind as well as all the information you need as hostess.
Tracking Device
It's very easy to use a sign-in and sign-out sheet when parents and caregivers are dropping their children at your event.
Plan to have a sheet ready to hand to guests as they arrive. I like to have a clipboard on hand to make marking the columns easy when a table is not available in an entry area.
Ask guests to write a few pieces of information for you to have on hand should an issue arise. I have personally used this many times, when a child alerts me to an 'allergy' only to discover from their parent that the 'allergy' is a 'preference' and there's nothing to worry about.
Get The Digits
Ask guests to include:
- Child's Name
- Parent's Name
- Cell Phone
I like to keep a cluster of these sign-in and sign-out sheets on hand for any gathering of children at which parents will be dropping off and picking up.
I use these sign-in sheets for children's birthday parties, Girl Scout events, sports team parties, Sunday School, manners classes and after school activities.
Send Off
To complete the process, it's best to have parents and caregivers sign-out children as they're picking them up from an event.
Unfortunately, I learned the hard way years ago, when I was hosting a children's event at my kids store in Seattle. A very well-meaning family 'snuck' out without signing my sheet and I was unable to account for the child.
Thankfully, a quick dash to the door and a look down the sidewalk revealed the child safely with Mom, but I had 30 seconds of terror and did NOT like the feeling!
